Begin with the commercial context

State the destination country or market, the intended business use and whether the request covers one size or a range. Add the expected quantity, even if it is an initial estimate.

This information does not lock the buyer into an order. It helps sales avoid sending a generic response that does not match the request.

Separate requirements from preferences

List the points that must be confirmed separately from preferences that can be discussed. For example, the product category may be essential while a particular cabinet reference may only be a preference.

For OEM or ODM enquiries, reference material can explain the direction, but it should not be described as an already approved result. Feasibility and the final scope require review.

Use a clear first-message structure

A practical message can be short: introduce the company, state the market, list the sizes and quantities, then name the points that need confirmation. Attach supporting material only when it helps explain the request.

After receiving a reply, compare the proposed product with the original requirements. Keep important confirmations in the quotation, specification or order documents rather than relying only on an informal chat.
